Terms of Service & Site Policies
These terms cover this website, the tools on it, the Contract Review service and any order you place here. They sit alongside — and never override — a signed agreement between you and ASR Office Solutions Corp..
Who these terms are with
This website is operated by ASR Office Solutions Corp. ("ASR", "we", "us"), a New York corporation with offices at 121 East Jericho Turnpike, Mineola, NY 11501. Using this site, submitting a form on it, uploading a document to it or placing an order through it means you accept these terms. If you are doing any of that for a company, you are confirming you are authorised to accept them on that company's behalf.
If you do not accept them, please do not use the site — call us on 516-268-0333 instead and we will help you the ordinary way.
What this website is
This site describes equipment, service plans, rentals and supplies, and gives you tools for working out roughly what those would cost. It is marketing and reference material. Nothing on it is an offer capable of acceptance, and nothing on it creates a contract on its own.
We work hard to keep the equipment specifications, page yields, prices and availability accurate, and we correct errors when we find them. We do not warrant that everything here is complete, current or error-free, and we reserve the right to correct any error — including a price — before we accept an order or issue a quote.
The price builder and volume calculator
The number the calculator gives you is an estimate, not a quote. It is produced from figures you type in — monthly volume, colour mix, industry, term — and from assumptions we apply on top of them. Change any input and the number changes.
An estimate from the price builder is not an offer, is not binding on ASR, and does not reserve equipment, pricing or a lease term. Your actual pricing depends on things the calculator cannot know: the machines you actually need, your real measured volume, coverage and paper sizes, delivery and network conditions at your site, term length, and credit approval by the leasing company.
Where the tool shows an "all-inclusive estimated range", that range is exactly that — a range. Included page volumes, how overage is handled, minimum charges and what is and is not covered are defined in the written proposal and in your signed agreement, and those documents govern.
Comparison figures and "national typical"
Some pages show a comparison bar labelled "National typical" alongside an ASR figure. That reference is a general market benchmark drawn from published market data, industry reporting and our own experience of contracts customers have shown us. It is:
- a general reference point, not a survey result and not a statistically representative sample;
- not a statement about any named competitor's pricing, and not a claim that any particular dealer charges that amount;
- not a promise that you are currently paying that, or that you would save the difference.
Any saving you actually see depends on your current agreement, your volume and what your existing contract includes. We will happily walk through the real numbers with you against your own paperwork — that comparison is the meaningful one.
Quotes, proposals and what actually binds us
ASR is bound only by a written proposal or agreement signed by an authorised ASR representative. Website content, calculator output, email estimates, and figures given over the phone are all preliminary.
Unless the document says otherwise, a written quote is valid for thirty (30) days and is subject to equipment availability, current manufacturer pricing, a site check where one is needed, and credit approval. Where a lease is involved, the leasing company — not ASR — approves credit and sets the finance terms, and the lease is a separate contract between you and that company.
Our flat-rate commitment, and its scope
We say across this site that ASR does not apply annual price increases, and we mean it. Here is precisely what that promise covers so there is no room for a surprise later:
- What it covers. The per-page rates and the recurring service or plan amount written into your ASR agreement stay at those figures for the full stated term. We do not apply an annual uplift, an inflation adjustment, a "capped" increase, or any other scheduled escalation to them.
- What it does not cover. Sales and use tax, government fees and regulatory surcharges; freight or expedited shipping you request; charges for work outside the agreed scope; pages produced beyond an agreed monthly allowance, which are billed at the overage rate stated in your agreement; and any amounts owed to a third-party leasing company under a lease you sign with them, which is governed by that lease and not by us.
- If your needs change. Adding equipment, moving sites, or materially changing your volume or scope may require a new or amended agreement at then-current rates. That is a new agreement you choose to sign, not an increase applied to the old one.
Starting payments and lease terms
Starting payments quoted on this site — including the $45, $75 and $125 per month entry points — are equipment-only figures for qualified customers on an approved lease. They do not include a copy or print allowance. Included volume, service and supplies are quoted separately, and the total you pay each month will be higher than the equipment-only figure once those are added.
Lease terms of 36, 39, 48 and 63 months are available subject to credit approval by the leasing company. A lease is a contract between you and that company; its terms, including end-of-term options, return conditions and any charges it applies, are set by that document.
Service and supply rates
Per-page rates advertised on this site — including 1¢ black-and-white and 7¢ colour — apply under an ASR service and supply plan on covered equipment, at the plan level and term set out in your agreement.
Manufacturer page-yield figures, and any yield we quote, assume approximately 5% coverage per page, which is the industry measurement standard. Real yield varies with what you actually print: heavy graphics, full-page colour, photographs and dense forms consume considerably more toner per page than the standard assumes. Yields are estimates, not guarantees.
Overage applies only to pages produced beyond an agreed monthly allowance and is billed at the per-page rate stated in your agreement. Where a plan carries a monthly minimum, that minimum is stated in the agreement.
Plans cover parts, labour and toner for normal business use of covered equipment. They do not cover paper, staples, consumables listed as excluded in your agreement, damage from misuse, liquid, power events, relocation you carry out yourself, or damage caused by non-OEM supplies.
IT support that is not machine-related
Work that is not related to covered equipment — network, server, workstation and general IT support — is billed from $250 per visit plus parts, unless a separate managed services agreement says otherwise. We will tell you before we start when work falls outside your plan.
Loaner equipment
Loaner equipment is available to current leased customers at ASR's discretion when a covered machine cannot be repaired on site or is waiting on parts. It is not a contractual entitlement, and availability depends on stock and on the model involved. A loaner remains ASR property, must be returned in the condition supplied, and you are responsible for loss or damage while it is with you.
Rentals
Short-term rental equipment remains the property of ASR throughout the rental. You are responsible for keeping it insured, at the agreed address, and in the condition it arrived in, fair wear excepted. Delivery, installation and collection windows are estimates; we will confirm actual timing with you. Rental rates, minimum periods, included volume and overage are set out in the rental agreement.
Toner and supply orders
Orders placed through this site are an offer to buy, not a completed sale. A sale is formed only when ASR accepts your order and dispatches it. Until then we may decline or cancel an order, in whole or in part, and refund you in full.
- Availability and confirmation. All orders are subject to our confirmation of genuine OEM availability, current pricing, payment approval, fraud and business verification, delivery-location confirmation, and written acceptance.
- Compatibility. We list compatible machines for every item and we will confirm compatibility before fulfilment where we can, but you are responsible for telling us the correct machine model. Ordering the wrong cartridge for your device is the most common cause of a return.
- Shipping. Free standard ground shipping is included on accepted web orders to eligible addresses in the contiguous United States. Expedited shipping, special handling, Alaska, Hawaii and other excluded destinations may carry additional charges, which we will tell you about before we ship.
- Pricing errors. If an item is listed at an obviously incorrect price, we may cancel the order and refund you rather than fulfil it. We will always contact you first.
- Returns. Unopened, undamaged genuine OEM supplies in resalable condition may be returned within 30 days of delivery. Opened cartridges, and items ordered specially for you, cannot be returned unless faulty. Contact us before sending anything back so we can issue a return authorisation.
- Faulty goods. A supply item that is defective on arrival will be replaced or refunded. Tell us within a reasonable time of discovering the fault.
Title and risk of loss pass to you on delivery to the carrier.
Payment, taxes and card details
Payments made through this site are processed by Squarespace Commerce and its payment processors. Your card details are entered into their systems and are handled under their security standards. ASR does not see, receive or store your full card number.
Prices are shown in US dollars and exclude sales and use tax, which is calculated at checkout or on invoice where applicable. You are responsible for any tax properly due, and for giving us a valid exemption certificate if you are claiming exemption.
Invoiced amounts are due on the terms stated on the invoice. We may suspend service on overdue accounts after giving you notice.
Contract Review
Contract Review is a free commercial service: you send us a copier or managed-print agreement you already have, and we tell you plainly what it says — the rate, the escalator, the term, the auto-renewal, the end-of-term obligations, and what it would cost to see out or exit.
This is not legal advice, and ASR is not a law firm. Nothing we send you is a legal opinion, and no attorney-client relationship is created by uploading a document, receiving our summary, or talking to us about it. If you need advice on your legal rights or obligations under an agreement, please consult an attorney.
What you are confirming when you upload
By sending us a contract, you represent that:
- you have the authority to share it with us, and doing so does not breach a confidentiality or non-disclosure obligation you owe to anyone else;
- you have removed, or accept the consequences of not removing, anything in it you did not intend to share — personal data of individuals, pricing you are contractually bound to keep confidential, or unrelated commercial terms;
- the document is a true copy of what you signed, and you have told us about any amendment, addendum or side letter that changes it.
What our review is, and is not
- It is a commercial reading of the documents you give us, and nothing else. We do not have your vendor's records, your billing history, or any amendment you did not send.
- It is not an audit, a valuation, or a guarantee of any particular saving or outcome.
- Figures we give you for buyout, remaining obligation or comparative cost are estimates based on the documents provided. Your actual position must be confirmed with the counterparty in writing.
- There is no obligation of any kind. You are free to use what we tell you to negotiate with your current vendor, and many people do.
What we do with your document
We treat contracts you send us as confidential. We use them only to prepare your review and to discuss it with you. We do not sell them, publish them, or share them with the vendor named in them. We may quote anonymised, non-identifying observations about market terms — never your name, your figures or your document. We keep the file no longer than we need it, and we will delete it on request — email service@asrofficesolutions.com and we will confirm when it is done. Trademarks and manufacturer relationships
Kyocera, ECOSYS and TASKalfa are trademarks of Kyocera Document Solutions Inc. and its affiliates. Other manufacturer, product and company names on this site are the trademarks of their respective owners, and are used to identify equipment and supplies they relate to. ASR Office Solutions Corp. is an independent authorised dealer. We are not the manufacturer, and referring to a manufacturer's marks does not imply their endorsement of this site.
The ASR name, logo, site design, written content and the tools on this site are ours, and may not be copied, scraped or republished without written permission.
Using this site
Please use the site for its intended purpose — learning about what we do, working out approximate costs, and getting in touch. Please do not:
- scrape, crawl or bulk-download the site or its catalogue, or use it to train a model, without our written permission;
- submit anything false, another person's details, or malicious code through any form on the site;
- attempt to gain access to any part of the site, or any account, that is not intended for you;
- place orders you do not intend to pay for, or use the site to test payment credentials.
We may refuse service, cancel an order or restrict access where we reasonably believe any of the above has happened.
Third-party services and links
This site runs on Squarespace and uses third-party services to work — among them Squarespace Commerce for the store and checkout, and Web3Forms to deliver form submissions to our inbox. Those providers have their own terms and privacy practices, which we do not control.
Where we link to another site, we do so because we think it is useful. We do not control it and we are not responsible for its content or its practices.
Disclaimers
The site and its tools are provided "as is" and "as available", without warranties of any kind, express or implied, including implied warranties of merchantability, fitness for a particular purpose, title and non-infringement. We do not warrant that the site will be uninterrupted or error-free, or that estimates it produces will match your actual costs.
Nothing in this section limits the warranties in a signed agreement between us, or any warranty on equipment or supplies that we or a manufacturer gives you in writing. Some jurisdictions do not allow the exclusion of certain warranties, so parts of this may not apply to you.
Limitation of liability
To the fullest extent permitted by law, ASR will not be liable for indirect, incidental, special, consequential, exemplary or punitive damages, or for lost profits, lost revenue, lost data, or business interruption, arising out of or relating to this website, its tools, or any estimate or review provided free of charge, whether based in contract, tort, negligence, strict liability or otherwise, even if we have been advised of the possibility.
For any claim arising out of or relating to this website or the free Contract Review service, ASR's total aggregate liability will not exceed one hundred US dollars (US$100).
This section applies to the website and to services provided free of charge. It does not limit liability under a signed equipment, service or rental agreement between us — that agreement contains its own terms — and it does not exclude liability that cannot be excluded by law, including liability for fraud, or for death or personal injury caused by negligence.
Indemnity
You agree to indemnify ASR against claims, losses and reasonable costs arising from a document you upload to us that you did not have the right to share, from your breach of these terms, or from your misuse of the site.
Governing law and disputes
These terms are governed by the laws of the State of New York, without regard to its conflict-of-laws rules. Any dispute arising out of or relating to them or to this website will be brought exclusively in the state or federal courts located in Nassau County, New York, and you and ASR each consent to the personal jurisdiction of those courts.

Changes to these terms
We may update these terms as what we offer changes. The effective date at the top of this page tells you when the current version took effect. Changes apply from the date they are posted, and do not retroactively change an order we have already accepted or an agreement you have already signed.
